Import your roster from a spreadsheet

Most clubs already keep their members in a spreadsheet. Rather than retyping it, import the file and Konia builds the roster for you, with renewal dates, payment status, and training groups included.

Open the Coach Web Portal

Importing happens on a computer, not in the app. Go to club.konia.app and sign in with the same account you already use in Konia, whichever way you normally sign in. The portal is for club coaches, so an account without admin rights cannot get in.

If you would rather not type the address, the app can hand it to you: on your club page, open Export / Import in the Members block, and use Copy link.

Prepare your file

Save your spreadsheet as CSV. Konia expects these columns:

  • Name
  • Email, the one column that is genuinely required. A row without a valid email address is reported as invalid and skipped.
  • Membership end date, written as YYYY-MM-DD
  • Paid, either paid or unpaid. yes, no, true, false, 1 and 0 also work.
  • Groups, separated by semicolons, like Beginners;Sunday long run. Names that do not match an existing group are skipped, so create your training groups first. Up to 50 groups per row.

Keep the header row. Columns are matched by name, so their order does not matter and extra columns of your own are ignored rather than rejected. That matching only kicks in when Konia recognises an email header, though: without one it falls back to reading the columns in the order above and treats your header row as a member, which is how you end up importing somebody called "Name". If in doubt, use the Download template button in the import dialog and fill that in.

Limits: up to 500 rows per import, with names and email addresses up to 200 characters. A larger club just needs a couple of passes.

Run the import

  1. Open Export / Import

    It is a single dropdown in the toolbar above the members table, holding Download template, Export members (CSV) and Import members (CSV). Choose Import members (CSV). A short guide appears first, covering the format rules and what happens afterwards. Worth reading once.

  2. Pick your CSV file

    Konia parses it and checks every row before anything is written.

  3. Review the summary

    You get counts of how many members will be invited, how many updated, and how many rows are invalid, with the reason for each bad row, for instance "Line 4: invalid date". Fix your spreadsheet and try again, or continue and deal with the stragglers by hand.

  4. Confirm

    Tick the box confirming you have the right to import these contacts, then run it. The roster refreshes when it finishes.

What "Pending" means

Imported members who have not signed up yet appear as Pending, both in the portal and on the Members screen in the app.

Two things matter here:

  • No email is sent. Importing does not invite anybody. It builds your roster. Sending the actual invite is still up to you, using your invite code.
  • They must sign up with the same email address you imported. When they do, their record is matched automatically and their renewal date, payment status, and groups are applied. The pending entry disappears on its own.

Pending members cannot be added to trainings until they have signed up, since there is no account to add yet. Ordinary members only ever see a name and a "Pending" chip: email addresses, renewal dates, and payment status stay visible to coaches only.

Re-importing is safe

Import the same file again and Konia updates rather than duplicates. Matching is by email address, ignoring capitalisation and stray spaces. This makes the spreadsheet a perfectly good way to run your renewals: update the dates in your file, re-import, done.

Exporting

Export members (CSV), in the same dropdown, downloads your current roster as a CSV named for your club and the date. Useful as a backup, for your committee, or as the starting point for the next import.

Tip: export first, even on a brand new club. It gives you a file with exactly the right headers, which you can fill in and import straight back.
