Every club has a spreadsheet somewhere with a "paid?" column that nobody has opened since March. Konia keeps the same information next to the member instead, so it is in front of you when you actually need it, and it chases people by email so you do not have to.
Set a member's renewal

Open the membership sheet
On the Members screen, open the menu on a member's row and choose Manage membership. Coaches only. The same sheet opens from the Renewal and Payment cells in the Coach Web Portal.

Set the renewal date
This is the one field that makes everything else work. Until it is set, the member has no membership card in their profile at all, and no reminder can be sent.
Leave it and Konia offers exactly one year from today, which is what most clubs want. The × clears it again.

Set the payment status
Three states, not two: Not set, Paid, and Unpaid. "Not set" is the honest default for a member you have not got round to checking, and it is worth keeping it that way rather than marking everyone unpaid.

Assign a membership fee
If your club has more than one price, pick the member's tier here. Only coaches can do this, so nobody can quietly move themselves onto the junior rate.
Leave it as Not assigned and the member pays your first tier. That is what lets a single-price club work with no assignment at all, and it is also the thing to watch in a multi-tier club.

Add a note if you need one
Up to 200 characters, visible to coaches and to that member. Good for "paid in cash at the track, 4 March" or "transferring from Lausanne club".

Save
One save writes the lot.
Save before you tap anything else. The links inside this sheet, to your bank details or your fees, close the panel to take you there. Anything you had typed and not saved is gone. Save first, then go.
What the statuses mean
Konia turns the renewal date into a status you can scan down a list:
- Active, green, more than 30 days away.
- Expiring, orange, within the next 30 days. A membership that runs out today still counts as expiring, not expired.
- Expired, red, the date has passed.
- No date set, nothing at all. The member sees no membership card.
To work through them, sort the Members screen by Renewal due. In the web portal there are dedicated Renewal and Payment columns you can sort on.
Set your prices
Fees live with your bank details, not on the members screen, because the price is also what goes in the reminder email. Open Edit club from your club page and find the Billing section.
There you set your club IBAN, account holder name and billing address, then add your membership fees: one row per price, each with a name like Adult or Student and an amount. Up to 10 tiers. The currency is club-wide rather than per tier. Once you connect online payments it follows your Stripe account, so prices and payouts match, and it locks for good once a member has paid.
Even a single-price club should add one fee. It is what puts a real number in the renewal email and on the member's card, instead of leaving them to guess or ask you.
What your members see
A member with a renewal date gets a Membership card on their profile. Tapping it shows when they renew, what they owe, and how to pay: your bank details with a reminder to use their own name as the reference, and, if your club has online payments switched on, a Pay button.
Two deliberate omissions are worth knowing about. Members never see an "Unpaid" flag, only a positive "Membership paid" chip once they are settled, so an out-of-date record never accuses anyone. And they cannot change their own fee tier.
The reminder email
Konia emails members about 30 days before their renewal date, in their own language, with the date and your payment details. You do not schedule it and you cannot forget it.
- For a dependent, the email goes to the parent who manages them, not the child.
- Only the recipient can turn it off, under Notifications in their profile. There is no coach-side or club-level switch, so you cannot silence reminders for your whole club.
- Changing the renewal date re-arms it. Move someone's date forward a year and they will be reminded again next time, automatically.
The one thing people get caught by: when a member pays online, Konia marks them as paid, but it does not move the renewal date. That stays your decision, because only you know whether the payment bought a year, a season, or a half.
So the routine after a payment is: open the member, push the date forward, save. That also re-arms next year's reminder.

Ouvrez la fiche d'adhésion
Sur l'écran Membres, ouvrez le menu sur la ligne d'un membre et choisissez Gérer l'adhésion. Réservé aux coachs. La même fiche s'ouvre depuis les cellules Renouvellement et Paiement du portail web coach.

Définissez la date de renouvellement
C'est le champ qui fait fonctionner tout le reste. Tant qu'il est vide, le membre n'a aucune carte d'adhésion dans son profil, et aucun rappel ne peut partir.
Laissez-le et Konia propose exactement un an à partir d'aujourd'hui, ce que veulent la plupart des clubs. Le × l'efface à nouveau.

Définissez le statut de paiement
Trois états, pas deux : Non défini, Payé et Non payé. « Non défini » est le choix honnête pour un membre que vous n'avez pas encore vérifié, et mieux vaut le laisser ainsi que de marquer tout le monde comme non payé.

Attribuez un tarif
Si votre club a plusieurs prix, choisissez ici le tarif du membre. Seuls les coachs peuvent le faire : personne ne peut discrètement se placer au tarif junior.
Laissez Non attribué et le membre paie votre premier tarif. C'est ce qui permet à un club à prix unique de fonctionner sans aucune attribution, et c'est aussi le point à surveiller dans un club à plusieurs tarifs.

Ajoutez une note si besoin
Jusqu'à 200 caractères, visibles par les coachs et par ce membre. Pratique pour « payé en espèces à la piste, le 4 mars » ou « transfert du club de Lausanne ».

Enregistrez
Un seul enregistrement écrit l'ensemble.
Enregistrez avant de toucher autre chose. Les liens de cette fiche, vers vos coordonnées bancaires ou vos tarifs, ferment le panneau pour vous y emmener. Tout ce que vous aviez saisi sans enregistrer est perdu. Enregistrez d'abord, partez ensuite.
Ce que signifient les statuts
Konia transforme la date de renouvellement en un statut lisible d'un coup d'œil :
- Actif, vert, à plus de 30 jours.
- Bientôt échu, orange, dans les 30 prochains jours. Une adhésion qui se termine aujourd'hui compte encore comme bientôt échue, pas comme expirée.
- Expiré, rouge, la date est passée.
- Aucune date, rien du tout. Le membre ne voit aucune carte d'adhésion.
Pour les traiter, triez l'écran Membres par Renouvellement dû. Dans le portail web, des colonnes Renouvellement et Paiement dédiées sont triables.
Définissez vos prix
Les tarifs se trouvent avec vos coordonnées bancaires, pas sur l'écran des membres, car le prix figure aussi dans l'e-mail de rappel. Ouvrez Modifier le club depuis la page de votre club et trouvez la section Facturation.
Vous y définissez l'IBAN du club, le titulaire du compte et l'adresse de facturation, puis ajoutez vos tarifs d'adhésion : une ligne par prix, chacune avec un nom comme Adulte ou Étudiant et un montant. Jusqu'à 10 tarifs. La devise vaut pour tout le club et non par tarif. Dès que vous activez le paiement en ligne, elle suit votre compte Stripe, pour que les prix et les versements concordent, et elle se verrouille définitivement dès qu'un membre a payé.
Même un club à prix unique devrait ajouter un tarif. C'est ce qui met un vrai montant dans l'e-mail de renouvellement et sur la carte du membre, au lieu de le laisser deviner ou vous demander.
Ce que voient vos membres
Un membre ayant une date de renouvellement obtient une carte Adhésion sur son profil. En la touchant, il voit quand il renouvelle, ce qu'il doit et comment payer : vos coordonnées bancaires avec un rappel d'utiliser son propre nom en référence, et, si votre club a activé le paiement en ligne, un bouton de paiement.
Deux omissions volontaires méritent d'être connues. Les membres ne voient jamais de mention « Non payé », seulement une étiquette positive « Adhésion payée » une fois réglés : une fiche pas à jour n'accuse donc jamais personne. Et ils ne peuvent pas changer leur propre tarif.
L'e-mail de rappel
Konia écrit aux membres environ 30 jours avant leur date de renouvellement, dans leur langue, avec la date et vos coordonnées de paiement. Vous ne le programmez pas et vous ne pouvez pas l'oublier.
- Pour une personne à charge, l'e-mail part au parent qui la gère, pas à l'enfant.
- Seul le destinataire peut le désactiver, dans les notifications de son profil. Il n'existe ni réglage côté coach ni réglage au niveau du club : vous ne pouvez pas couper les rappels pour tout votre club.
- Changer la date de renouvellement réarme le rappel. Avancez la date de quelqu'un d'un an et il sera relancé la fois suivante, automatiquement.
Le piège classique : quand un membre paie en ligne, Konia le marque comme payé, mais ne déplace pas la date de renouvellement. Cela reste votre décision, car vous seul savez si le paiement couvre une année, une saison ou un semestre.
La routine après un paiement est donc : ouvrir le membre, avancer la date, enregistrer. Cela réarme aussi le rappel de l'année suivante.
Jeder Verein hat irgendwo eine Tabelle mit einer Spalte „bezahlt?", die seit März niemand geöffnet hat. Konia hält dieselbe Information direkt beim Mitglied, sodass sie da ist, wenn du sie wirklich brauchst, und erinnert die Leute per E-Mail, damit du es nicht tun musst.

Das Mitgliedschafts-Fenster öffnen
Öffne im Bildschirm Mitglieder das Menü in der Zeile eines Mitglieds und wähle Mitgliedschaft verwalten. Nur für Coaches. Dasselbe Fenster öffnet sich über die Zellen Verlängerung und Zahlung im Coach-Webportal.

Das Verlängerungsdatum setzen
Das ist das Feld, an dem alles andere hängt. Solange es leer ist, hat das Mitglied überhaupt keine Mitgliedschaftskarte im Profil, und es kann keine Erinnerung verschickt werden.
Lässt du es offen, schlägt Konia genau ein Jahr ab heute vor, was den meisten Vereinen passt. Das × löscht es wieder.

Den Zahlungsstatus setzen
Drei Zustände, nicht zwei: Nicht gesetzt, Bezahlt und Offen. „Nicht gesetzt" ist die ehrliche Voreinstellung für ein Mitglied, das du noch nicht geprüft hast, und es lohnt sich, das so zu lassen, statt alle auf offen zu setzen.

Einen Beitrag zuweisen
Hat euer Verein mehrere Preise, wähl hier den Beitrag des Mitglieds. Das können nur Coaches, niemand kann sich also still auf den Junior-Tarif setzen.
Lässt du es auf Nicht zugewiesen, zahlt das Mitglied euren ersten Beitrag. Genau das lässt einen Verein mit nur einem Preis ganz ohne Zuweisung funktionieren, und genau darauf muss man bei mehreren Stufen achten.

Bei Bedarf eine Notiz ergänzen
Bis zu 200 Zeichen, sichtbar für Coaches und dieses Mitglied. Gut für „bar auf der Bahn bezahlt, 4. März" oder „Wechsel aus dem Verein Lausanne".

Speichern
Ein Speichern schreibt alles auf einmal.
Speichere, bevor du irgendetwas anderes antippst. Die Links in diesem Fenster, zu euren Bankdaten oder euren Beiträgen, schliessen das Fenster, um dich dorthin zu bringen. Alles, was du getippt und nicht gespeichert hast, ist weg. Erst speichern, dann wechseln.
Was die Status bedeuten
Konia macht aus dem Verlängerungsdatum einen Status, den du in einer Liste überfliegen kannst:
- Aktiv, grün, mehr als 30 Tage entfernt.
- Läuft bald ab, orange, innerhalb der nächsten 30 Tage. Eine Mitgliedschaft, die heute endet, zählt noch als bald ablaufend, nicht als abgelaufen.
- Abgelaufen, rot, das Datum ist vorbei.
- Kein Datum, gar nichts. Das Mitglied sieht keine Mitgliedschaftskarte.
Zum Abarbeiten sortierst du den Mitglieder-Bildschirm nach Verlängerung fällig. Im Webportal gibt es eigene, sortierbare Spalten für Verlängerung und Zahlung.
Eure Preise festlegen
Die Beiträge stehen bei euren Bankdaten, nicht im Mitglieder-Bildschirm, weil der Preis auch in der Erinnerungs-E-Mail auftaucht. Öffne von eurer Vereinsseite aus Verein bearbeiten und such den Abschnitt Abrechnung.
Dort setzt du Vereins-IBAN, Kontoinhaber und Rechnungsadresse und ergänzt dann eure Mitgliedsbeiträge: eine Zeile pro Preis, jeweils mit einem Namen wie Erwachsene oder Studierende und einem Betrag. Bis zu 10 Stufen. Die Währung gilt für den ganzen Verein statt pro Stufe. Sobald ihr Online-Zahlungen aktiviert, richtet sie sich nach eurem Stripe-Konto, damit Preise und Auszahlungen zusammenpassen, und sie wird endgültig gesperrt, sobald ein Mitglied bezahlt hat.
Auch ein Verein mit nur einem Preis sollte einen Beitrag anlegen. Erst dadurch steht eine echte Zahl in der Verlängerungs-E-Mail und auf der Karte des Mitglieds, statt dass es raten oder nachfragen muss.
Was eure Mitglieder sehen
Ein Mitglied mit Verlängerungsdatum bekommt im Profil eine Karte Mitgliedschaft. Ein Tipp darauf zeigt, wann verlängert wird, was offen ist und wie man zahlt: eure Bankdaten mit dem Hinweis, den eigenen Namen als Referenz anzugeben, und, wenn euer Verein Online-Zahlungen aktiviert hat, einen Bezahl-Button.
Zwei bewusste Auslassungen sollte man kennen. Mitglieder sehen nie eine Markierung „Offen", sondern erst nach der Zahlung ein positives „Mitgliedschaft bezahlt". Ein veralteter Eintrag beschuldigt also nie jemanden. Und sie können ihre eigene Beitragsstufe nicht ändern.
Die Erinnerungs-E-Mail
Konia schreibt Mitgliedern rund 30 Tage vor ihrem Verlängerungsdatum, in ihrer Sprache, mit dem Datum und euren Zahlungsdaten. Du planst sie nicht und kannst sie nicht vergessen.
- Bei einer betreuten Person geht die E-Mail an das Elternteil, das sie verwaltet, nicht an das Kind.
- Nur die empfangende Person kann sie abschalten, unter Mitteilungen im eigenen Profil. Es gibt weder einen Schalter für Coaches noch einen für den Verein, du kannst die Erinnerungen für euren Verein also nicht stummschalten.
- Ein geändertes Verlängerungsdatum scharfstellt sie neu. Schiebst du jemanden ein Jahr nach vorn, wird die Person beim nächsten Mal automatisch wieder erinnert.
Die typische Stolperfalle: Zahlt ein Mitglied online, markiert Konia es als bezahlt, verschiebt das Verlängerungsdatum aber nicht. Das bleibt deine Entscheidung, denn nur du weisst, ob die Zahlung ein Jahr, eine Saison oder ein halbes Jahr abdeckt.
Die Routine nach einer Zahlung lautet also: Mitglied öffnen, Datum nach vorn schieben, speichern. Damit ist auch die Erinnerung fürs nächste Jahr wieder scharf.
