Set up online payments

Before you start: you will be asked which country your club is based in, and that choice cannot be changed afterwards. Pick the country your club's bank account is in. Getting it wrong means opening a new Stripe account from scratch, so have your banking details to hand before you begin.

Money goes straight to your club's bank account. Konia never holds it, and never sees a card number: your club gets its own Stripe account, members pay on Stripe's own page, and the funds land with you.

Do it on a computer

You can start from the app, but the setup itself is much easier in a browser, because Stripe will ask for your club's legal details and IBAN and you will probably need to look some of them up.

Sign in at club.konia.app with your usual Konia account and open Online payments from the top bar. In the app the same screen is under Coach HubOnline payments, where the row tells you at a glance whether you are Active or Not set up.

Two steps, and a banner that tells you where you stand

The screen is a short checklist with a summary at the top. Until both steps are done it reads Members can't pay yet and names the one thing that is missing. Once both are done it reads Members can pay in the app, and that is the sentence to trust.

  1. Connect your club's Stripe account

    Tap Connect with Stripe. Konia first asks where your club is based, with a searchable list of the countries it supports. If your country is not in that list, online payments are not available to you yet, and bank transfer through membership renewals stays the path to use.

    Choose carefully: Stripe cannot change a country later. Then Konia creates the Stripe account and hands you over to Stripe's own onboarding, where you answer their questions directly. Nobody at Konia sees those answers.

    When Stripe sends you back, you land on a Konia page saying you are done there. Come back to the payments screen to see the real status.

  2. Set the membership fee

    You need at least one price before anyone can pay. Tap Add a membership fee, which takes you to the Billing section of your club settings, where fees live alongside your bank details. One row per price, up to ten.

    If you have more than one tier, members pay your first one unless you assign them another. Worth checking before you announce it.

Coming back from Stripe does not mean you are finished. Stripe returns you to Konia whether you completed onboarding or abandoned it halfway, so the page you land on cannot tell you anything. The only signal that counts is the Connected chip on the payments screen.

The screen updates itself within a few seconds of Stripe confirming your account, so you should not need to do anything. If it looks stuck, Refresh status re-reads it from Stripe. A neutral "Status updated" is all you get back, on purpose, because it reports the truth rather than telling you what you want to hear.

If your setup link stops working

Stripe's onboarding links are single-use and expire within minutes. Reusing an old one, or coming back to a tab you left open over lunch, lands you on a page saying the link has expired. That is normal and nothing has gone wrong.

Go back to the payments screen and tap Continue setup. It mints a fresh link. Do not bookmark the Stripe link.

What members see

A member with a renewal date has a Membership card on their profile. Opening it shows the amount you assigned them and a Pay in the app button, which takes them to Stripe's secure payment page. If you have also filled in your IBAN, bank transfer appears underneath as a second option.

Members never choose their own price. They see one amount, the one attached to their tier. Parents can pay for a dependent from the Family section of their profile.

Once someone is marked as paid, the payment options disappear and they just see a "Membership paid" chip. That is deliberate, and it is what stops somebody paying twice.

After a payment lands

Members see confirmation that the payment went through and that your club will see it within a minute. On your side the member flips to paid on their own.

The renewal date is still yours to move. A payment marks the member as paid but deliberately does not touch their renewal date, because only you know whether that payment bought a year, a season, or a term. So after a payment: open the member, push the date forward, save.

Money questions

  • Where does it go? Straight to your club's bank account, via your own Stripe account. Konia is never in the middle.
  • What does Konia take? Nothing by default. Stripe's own processing fees still apply and are charged to your club, as with any card payment.
  • Refunds? From your own Stripe dashboard, not from Konia. Use Manage payouts and refunds in Stripe on the payments screen. Konia notices a refund and flips the member back to unpaid.
  • Currency? Set for the whole club rather than per tier, and taken from your Stripe account once you are connected, so prices and payouts match. It locks for good as soon as a member has paid. Amounts stay editable afterwards. If your Stripe account happens to settle in a currency Konia cannot price in yet, it will tell you, and bank transfer still works.

If a member cannot pay

  • "Online payment isn't available for this club yet" is the catch-all. Usually your Stripe account is not fully connected or you have not set a fee. Check the banner on your payments screen.
  • "Your membership fee is no longer available" means you deleted the tier that member was assigned to. Assign them a current one.
  • "This membership is already paid" means exactly that, and is a safety net rather than a fault.
  • "Too many attempts" is a rate limit, ten checkout attempts an hour per person. It clears on its own.
