Collect member documents

Running your club Updated July 2026

Plenty of endurance clubs need a medical certificate or a licence on file before somebody can train, and it is the sort of admin that quietly rots: a folder of emailed PDFs, a spreadsheet nobody updates, and a nasty surprise the week of a race. Konia keeps the documents with the member and shows you who is missing one.

Define what you collect

On your club page, open the Members block and choose Member documents. Coaches only. The screen has two tabs, Status and Types. Start on Types.

  1. Add a document type

    Tap Add document type and name it as your members would say it: Medical certificate, Licence, Parental consent.

  2. Decide whether it is required

    The Required switch is the important one. Required types are what the Status tab tracks and what the missing-documents filter looks at. Optional types still get collected, they just do not count towards compliance.

  3. Order them

    Drag to reorder. This is the order members see on their own documents screen, so put the one you actually chase first.

Mark at least one type as Required. With everything optional the Status tab has nothing to measure, and it will tell you so rather than showing an empty table.

See who has provided what

The Status tab is a grid of members against your required types. Search by name, or use the filter at the top right to switch from All members to Missing required docs, which is the view you want the week before a race. When nobody is missing anything it says so.

Tapping a member opens their documents, and you can upload, replace or delete on their behalf. That matters more than it sounds: plenty of certificates arrive as a photo in a WhatsApp message, and this is where you put it so it stops living in your phone.

What your members do

Members open My documents from their profile and see one row per type you defined, each with its status and an Upload button. Files can be a PDF, JPG or PNG, up to 5 MB. They can add an expiry date, which is optional but is what makes the whole thing useful.

Replacing a document later is the same button. If they only need to correct the expiry date, they can leave the file alone and change just the date.

Documents are visible to that member and to your coaches. Other members never see them.

The four states

  • Missing, nothing uploaded.
  • Valid, uploaded and either has no expiry date or expires in more than 30 days.
  • Expiring soon, expires within 30 days. A document expiring today still counts as expiring rather than expired.
  • Expired, the date has passed.

Two things to plan around.

1. A document with no expiry date stays Valid forever. If your medical certificates are annual, ask for the date at upload, or you are tracking nothing.

2. Nobody is emailed about an expiring document. Unlike membership renewals, there are no automatic reminders here. Checking the Status tab is a job someone has to actually do, so put it in the calendar once a term.

Renaming and deleting types

Renaming a type is safe. Files already uploaded keep the label they were filed under, so nothing gets mislabelled retroactively.

Deleting is not. If members have already uploaded files against a type, deleting it permanently deletes those files, and Konia will tell you how many before you confirm. Read that number.
